The Challenge
The Deerlijk-based company Naessens-HVAC began as a sole proprietorship in 2001 and has since grown into an SME with some 45 employees specialising in all the techniques for which the term "HVAC/S" stands, i.e. "Heating - Ventilation - AirConditioning - Sanitary".
Naessens-HVAC has several technicians on the road who enter their performed services via work orders. "We were looking for a way to have faster and more accurate information about the hours worked, instead of having to wait for the work orders," says Bram De Greve, prevention advisor at Naessens-HVAC.
A second focal point for the company is tackling cumbersome payroll administration. "Calculating the mobility allowance now takes a lot of time and this needs to be simpler," states the prevention adviser.
Moreover, the many calls to the technicians on the road is also an area for improvement for Naessens-HVAC. "When we want to adjust the technicians' schedules, we have to call them every time to ask where they are. This is time-consuming and needlessly complicated," says Bram De Greve.
The Solution
To meet these challenges, Naessens-HVAC chose ProDongle.

A number of vans will soon be replaced. Since the Plug & Play tracker is plugged into the vehicle's OBD port, Naessens-HVAC can easily swap it to the new vans and then update the tracker data in the application.
Thanks to the ProDongle trip registration solution, it is possible to check with just two clicks when the technicians' working day started or ended. Extracting the hours worked now takes considerably less time than before. "Now that objective proof exists of how long the technicians were working, invoicing has improved," adds Bram De Greve.
Naessens-HVAC uses the ProDongle track & trace solution to see where the technicians are and can adjust route planning accordingly. Time-consuming calling around is now obsolete. With more efficient route planning, the company also saves on fuel costs.
With the help of the ProDongle mileage registration, payroll administration has also been simplified and staff are paid more quickly. "Every month, with a few clicks, I extract the kilometers driven from the system and can easily determine the mobility allowance," explains the prevention consultant.
As can be expected, there will always be proponents and opponents of introducing a trip registration system. "But as long as everything proceeds correctly from both sides, there are no problems," concludes Bram De Greve.
